Privacy Policy

1. Who we are

Zhen IT Solutions (“we”, “us”) is a software development business based in Dulag, Leyte, Philippines, serving local and international clients. We are the personal information controller for the data described here. This policy follows the Data Privacy Act of 2012 (Republic Act No. 10173) and its implementing rules.

2. What we collect

When you use the contact form

• Your name and email address (required)
• Your phone number and company name (optional)
• The message you write

Please don't include sensitive personal information, such as health, financial or government ID details, in your message.

When you browse the site

• Analytics. We use Umami, a privacy-focused analytics tool that we host ourselves. It records the pages visited, the referring site, and your browser, operating system, device type and approximate country. It does not use cookies, does not store your IP address and does not identify you personally.
• Server logs. Like most websites, our server may keep short-lived technical logs (IP address, time and the page requested) to keep the site secure and working.
• Spam protection. Your IP address is held in memory for up to 10 minutes when you submit the contact form, to block repeated automated submissions. It is not saved.

This website does not use cookies, advertising trackers or third-party analytics.

3. Why we use it

• To reply to your enquiry and discuss a possible project with you.
• To prepare proposals and, if we work together, to run the project.
• To understand which pages are useful and improve the site, using anonymous analytics.
• To protect the site against spam and abuse.

We process contact form data with your consent, which you give by sending the form, and because it is needed to respond to your request before entering into a contract. We never sell or rent your personal data, and we don't use it for advertising.

4. Who we share it with

Contact form messages are delivered by email through our email provider, Hostinger, and stored in our business mailbox. We don't share your data with anyone else unless the law requires us to. Our email provider may store data on servers outside the Philippines; when that happens we rely on the provider's security safeguards.

5. How long we keep it

We keep enquiries for as long as we need them to reply and follow up. If an enquiry does not lead to a project, we delete it within 24 months. If we work together, we keep project correspondence for as long as the engagement and our legal and accounting obligations require.

6. How we protect it

The site is served only over HTTPS, so data you send is encrypted in transit. Access to our mailbox and systems is limited to us and protected by strong passwords. No method of transmission or storage is completely secure, but we take reasonable organisational, physical and technical measures to protect your data.

7. Your rights

Under the Data Privacy Act you have the right to:

• be informed about how your personal data is processed;
• access the personal data we hold about you;
• object to processing, and withdraw your consent at any time;
• have inaccurate data corrected;
• have your data erased or blocked;
• receive your data in a portable format;
• be compensated for damages caused by unlawful processing; and
• file a complaint with the National Privacy Commission.

If you live outside the Philippines, you may have similar rights under your local law, and we will honour them. To use any of these rights, email joshua.pales@zhenitsolutions.tech. We will reply within 30 days.

8. Links to other sites

This site links to other websites, such as our GitHub and LinkedIn profiles and live project demos. Their own privacy policies apply when you visit them.

9. Children

This site is meant for businesses and is not directed at children. We don't knowingly collect personal data from anyone under 18.

10. Changes to this policy

We may update this policy from time to time. The effective date at the top shows when it last changed.
